Job Summary:
The Development Program Manager is responsible for overseeing the strategic implementation and sustained management of a comprehensive Customer Relationship Management (CRM) system to advance donor engagement, fundraising operations, and data-driven decision-making at the Kaiser Permanente Bernard J. Tyson School of Medicine (KPSOM). This role leads complex, cross-functional initiatives involving CRM system development, data migration, staff training, and stakeholder collaboration across IT, Compliance, and other internal and external partners. The Development Program Manager designs and manages donor segmentation strategies, acknowledgment protocols, and performance reporting while leading change management efforts to drive adoption, ensure data integrity, and optimize long-term program impact.
Essential Responsibilities:
  • Develop and implement a comprehensive CRM system to track and manage donor information, interactions, and contributions. Ensure the system is optimized for efficiency and accuracy, providing training and support to staff as needed.
  • Lead change management efforts related to CRM adoption by creating communication plans, engaging key interested parties, addressing resistance, and supporting a smooth transition across departments utilizing the CRM system
  • Spearhead the CRM system setup, coordination, and collaboration with leadership, KPSOM Information Technology (IT), Compliance, and other identified internal and external partners.
  • Design and oversee the donor acknowledgment process, ensuring timely and personalized communication with donors. Develop templates and protocols for acknowledgment letters, receipts, and other forms of donor recognition
  • Create and manage donor segmentation strategies to tailor fundraising efforts and communications to different donor groups. Analyze donor data to identify trends and opportunities for targeted engagement.
  • Manage the migration of existing donor data into the new CRM system, ensuring data integrity and accuracy. Oversee ongoing data entry and updates, maintaining high standards for data quality and security.
  • Generate regular reports on fundraising activities, donor engagement, and campaign performance. Provide insights and recommendations based on data analysis to inform strategic decision-making.
  • Support the implementation of data-informed fundraising strategies by building and maintaining donor segmentation models, lists, and tracking tools based on predefined criteria by leadership.
  • Continuously refine segmentation outputs and recommend list enhancements based on engagement patterns and historical donor behavior.
  • Coordinate the execution of personalized donor communication campaigns using CRM-integrated tools, ensuring accurate list pulls, timely mailings, and campaign tracking in alignment with pre-approved stewardship plans.

Basic Qualifications: Experience
  • Minimum Three (3) years of experience in non-profit development operations
  • Minimum Two (2) years of experience using CRM systems and data management
Education
  • Bachelors degree
License, Certification, Registration
  • N/A
Additional Requirements:
  • Understanding of basic non-profit fundraising processes, i.e., direct mail, planned giving, major gifts, annual giving, etc.preferred.
  • Experience working in a medical or higher education institution preferred.
  • Strong analytical skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
Preferred Qualifications:
  • Two (2) years of Experience with implementing CRMs in a non-profit Development Setting and establishing operations.
  • Six (6) years of experience in project management.
