Job Description
The IT Operations Coordinator will support the IT function through vendor management, operational process development, and light technical support. This role acts as the operational backbone of the IT team- ensuring vendor relationships run smoothly, documentation stays current, and day-to-day IT workflows operate efficiently. This position reports to the Director of IT Applications and partners closely with the Systems Support team and internal stakeholders across the organization
Primary Job Responsibilities:
- Vendor & Contract Management - ~50%
- Manage the full lifecycle of IT vendor relationships, including sourcing, procurement coordination, and contract tracking.
- Maintain vendor records, renewal calendars, and performance expectations to ensure timely renewals and ongoing compliance.
- Collaborate with leadership on vendor evaluations and cost-saving opportunities.
- Partner with the IT Manager, who will handle negotiation and new deal execution; this role ensures operational follow-through and ongoing vendor oversight.
- Documentation, Processes & Workflow Development - ~25%
- Create and maintain clear, user-friendly IT documentation, including SOPs, knowledge base articles, and process flows.
- Establish structured procedures for recurring IT tasks and projects.
- Support project tracking by documenting milestones, timelines, and key deliverables.
- IT Operations & Helpdesk Support - ~25%
- Assist the Systems Support team by handling overflow tickets, especially during peak periods or staff absences.
- Provide light technical support across hardware, software, access management, and troubleshooting.
- Participate in broader IT projects as needed.
Qualifications:
- Bachelor's degree in Business Administration, Information Systems, or a related field
- 2 - 4 years of experience in IT operations, vendor management, procurement coordination, or similar administrative/technology environments.
- Strong organizational and project coordination skills, with the ability to track multiple concurrent workstreams
- Ability to create clear written documentation and translate complex technical concepts into simple language.
- Proactive mindset and attention to detail in managing follow-ups, deadlines, and readiness planning
- Comfortable with light hands-on IT support in a structured helpdesk setting.
- Excellent communication skills and the ability to collaborate across teams.
Job Location
- This role will be hybrid at our Philadelphia office ~2x/week.
