Summary: The Policy Admin Coordinator supports the Benefits and Life Team by providing administrative assistance and customer service to help manage disability and life insurance policies, focusing on policy retention and overall client satisfaction.

Essential Duties and Responsibilities:

  • Manage client engagement touchpoints, including the preparation of monthly birthday lists and the distribution of personalized weekly birthday communications
  • Monitor and analyze lapse reports to ensure timely follow-up and resolution
  • Finalize new and increase policies in accordance with established procedures to ensure internal records are accurate
  • Prepare and conduct preliminary review and data validation of policy increase reports to ensure accuracy and completeness prior to further action
  • Initiate and support the processing of death and disability claims in accordance with company guidelines
  • Generate and manage annual term policy expiration reports, including preparation and distribution of related communications
  • Retrieve and organize incoming correspondence from external systems (e.g., Files Anywhere) for internal processing

Other Admin Duties and Responsibilities:

  • Creates and maintain client files in accordance with office procedures
  • Will be first line of answering questions from clients and insurance company personnel
  • Take a proactive lead on conserving the existing block of disability and life insurance by notifying clients of overdue insurance premiums
  • Process policy service requests:  address changes, beneficiary changes, premium mode changes, etc.  Follow up with carriers to ensure accuracy and completeness
  • Ensure data accuracy in company records by routinely updating client and carrier information in our CMS and maintain electronic client files
  • Complete policy summaries and annual reviews
  • Perform administrative duties including scanning and accurately filing materials in the client files
  • Answer phones
  • Mail distribution
  • Verifies that documentation (policies and endorsements) and information requested are accurate
  • Perform policy reviews and the process for completing coverage in the CMS

Knowledge, Skills, and/or Abilities:

  • Proficiency in Microsoft office applications
  • Good written and verbal communication skills
  • Self-confidence to make sound independent decisions
  • Ability to successfully interact with a variety of people
  • Team player, adaptive to mentoring and continual learning
  • Possess good analytical and problem-solving skills
  • Attention to details
  • May be required to work overtime as necessary

Education and/or Experience: 

  • High School graduate or equivalent, College graduate preferred
  • Minimum 1 year of related experience and/or training; or equivalent combination of education and experience.

Certificates, Licenses, Registration:

  • Life, Accident, and Health License will be required during the first year

The base salary range for this position is $41,000 to $57,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
