Job Description

GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:

As the Collections Manager, you will create, organize, catalog and track the department's records of art objects. You will manage acquisition, deaccession, loan, and object locations records. In collaboration with both the Senior Collections Manager and Senior Administrator, you will plan and document gallery rotations, labels, object inventories and cataloguing. You will oversee the annual object inventory and be the main point of contact both internally and externally for collection database information.


PRIMARY RESPONSIBILITIES & DUTIES:

  • Manage and maintain The Museum System (TMS) object records including loans, acquisitions, gallery rotations, conservation status, and location.

  • Lead digitization efforts of collections records. Collaboration with Archives and Collections information to ensure records meet standards.

  • Remain knowledgeable on meta-data best practices to ensure proper records are documented and consistent.

  • Manage documentation for outgoing and incoming loans, and ensure coordination with the Registrar

  • Coordinate gallery labels creation & updates in partnership with Curatorial, Editorial, Exhibitions & outside vendors.

  • Lead the collections & curatorial teams on the organization of collections information, cataloguing and proper data entry into TMS for consistency and completeness. Lead database record cleanup.

  • Generate collection records reports for colleagues & outside scholars. Field and respond to information requests both internally and externally.

  • Lead documentation of annual object inventories and collaborate in producing resulting report.

  • Coordinate views of the collection in storage and access to the department's Visual Resource Archive and ensure resources are organized and available.

  • Train fellows, interns and other staff members on proper database entry. Coordinate user requests/permissions with the Collections Information Team.

  • Other duties as assigned

REQUIREMENTS & QUALIFICATIONS:

  • BA degree required, M.A. degree in Museum Studies, Art History, or Collections Management preferred.

  • 3-5 years of experience with museum collections and art databases,

  • Extensive experience with TMS preferred.

  • Demonstrated experience managing complex projects with varied stakeholders from ideation to completion.

  • Excellent organizational, proofreading, and analytical skills.

  • Experience with collections management software, with a strong preference for TMS, Adobe Suite, and Microsoft Office Suite.


COMPENSATION RANGE:

  • Pay Range: $87,000.00 - $92,000.00 / Annually
