Equity Analyst (Contract Position)
Job Description
The Team (This is a contract position 3 days per week in our Boston office)
The Equity Analyst assists with the ongoing administration of the Company’s Equity Incentive Plan (“EIP”) and Employee Stock Purchase Plan (“ESPP”), including end-to-end processes for these plans. The incumbent reviews and maintains external and internal databases within Oracle, Fusion, and E*TRADE’s Equity Edge Online and periodically reconciles complex program information. The incumbent keeps up-to-date on equity and ESPP-related updates and suggested best practices provided by external stock plan organizations such as the National Association of Stock Plan Professionals, Global Equity Organization, etc.
What You Can Offer Us
- Administer the bi-annual ESPP enrollment process, which includes developing and updating communication materials for each participating country, reviewing and updating the E*TRADE ESPP enrollment site, preparing eligible employee files for review by local Human Resources teams and uploading those files to E*TRADE.
- Guide and interface with each country to ensure all participation requirements are met by new enrollees and existing participants as required by local legislation.
- Facilitate the preparation and execution of the bi-annual ESPP purchase transactions on a global basis. This includes consolidating and auditing employee payroll contributions, formulating purchase details for upload to the E*TRADE system, auditing the final purchase data for deposit of shares into employee accounts, and preparing reports for local Human Resources, Finance, and Accounting teams.
- Maintain global ESPP participation data (i.e., enrollment, contribution percentage, and withdrawals) and communicate changes to global Human Resources Business Partners (“HRBPs”), local payroll groups, and employees and reconcile all changes in payroll contribution reports.
- Administer the exchange of information between the Company and its external equity plan administrator, which includes weekly account updates and terminations, reviewing, reconciling, and updating employee account data to ensure accuracy and integrity of the equity database.
- Assist with the introduction and rollout of the ESPP to new markets, which includes developing and reviewing communication materials and serving as a contact for local Human Resources and Payroll teams.
- Develop and update global ESPP participation statistics.
- Work with the Sr. Manager, Global Equity Programs on the compilation and reconciliation of all information needed for the Company’s equity grant program, including that which will be submitted to the Compensation Committee.
- Provide support on tasks related to the processing and review of restricted stock unit vesting, including the collection of any required tax withholding and updating the same in the equity database.
- Manage the distribution of employee communications related to new grants, RSU vestings, ESPP purchase, grant acceptances.
- Prepare standard and ad hoc reports requested by the Human Resources, Payroll, Accounting, Finance and Tax departments.
- Review/maintain the insider list on a quarterly basis to be approved by the Corporate Legal department; ensure all updates are accurately reflected in the equity database.
- Respond accurately, comprehensively, and within one business day of receipt to all inquiries received through the Equity team’s mailbox.
- Provide recommendations for enhancements to programs, processes, datasets, methods and practices.
- Create and maintain process documents for equity and ESPP administration.
- Provide high quality customer service to all employees and global HRBPs for equity and ESPP-related inquiries.
- Assist with the program administration of other Company equity plans.
- Assist with annual plan audits conducted by internal and external teams.
- Perform ad hoc project work.
What You Need to Succeed
- Bachelor's degree required.
- Directly related compensation or equity experience
- Exposure to or experience in global corporate environments highly desirable.
- Strong project management skills and the ability to work independently.
- Advanced skills with analytic tools, especially MS Excel, with proficiency in formula-based functions such as VLOOKUPS, data manipulation and pivot tables.
- Strong verbal and written communication skills, including the ability to present ideas and suggestions clearly and effectively to all levels of employees.
- Strong analytic and problem solving skills.
- Able to maintain focus on data accuracy and detail orientation.
- Able to maintain the utmost vigilance in the protection of confidential data and sensitive information.
- Strong organizational skills; ability to accomplish multiple tasks within the agreed upon timeframes through effective prioritization of duties and functions in a fast paced environment.
- Self-motivated; able to work both independently to complete tasks and respond to department requests and with others to utilize their resources and knowledge to identify high quality solutions.
- Strong working knowledge of equity plan administration rules and regulations.
- Proficiency with MS PowerPoint.
