JOB DESCRIPTION
The Event Marketing Coordinator is responsible for the end-to-end operational planning and on-site execution of the companys B2B event portfolio, including third-party conference sponsorships, industry trade shows, executive roundtables, and partner co-sponsored activations.
Reporting to the Director, Event Marketing, the Event Marketing Coordinator translates the Directors event strategy and the Partnership Marketing Managers campaign plans into detailed operational execution: managing vendors, coordinating logistics, communicating with internal stakeholders, and ensuring post-event follow-through is completed. This is a high-volume, detail-oriented role suited for someone who enjoys building structure, staying ahead of deadlines and keeping events running smoothly. The ideal candidate will have exceptional organizational discipline, a proactive communication style, and the ability to manage multiple events simultaneously across different geographies and formats.
Event Logistics & Operational Planning
  • Own detailed logistics planning for assigned events from sponsorship confirmation through post-event closeout, including venue coordination, booth and exhibit management, A/V and production vendor coordination, shipping and materials management, catering, and attendee registration.
  • Build and maintain a master event logistics checklist and timeline for every program.
  • Support post-event closeout by tracking follow-up tasks, coordinating lead handoff, organizing event materials, and capturing key learnings for future programs

Vendor & Supplier Management
  • Source, brief, and manage event vendors, including exhibit houses, production companies, freight and drayage providers, promotional merchandise suppliers, and on-site staffing partners.
  • Track vendor deliverables, manage timelines, process purchase orders, and ensure all contracted services are delivered on time, to specification and within budget.

Event Calendar & Project Management
  • Own and maintain the event project management tracker, keeping all events, deadlines, dependencies, and stakeholder actions current and visible.
  • Proactively flag scheduling conflicts, vendor deadlines, and cross-team dependencies to the Director in advance

JOB REQUIREMENTS
  • 2+ years of event coordination, event marketing, or marketing operations experience at a B2B technology services, consulting, professional services, or large enterprise company.
  • Bachelors degree in Marketing, Communications, Hospitality, Business, or a related field required.
  • Demonstrated experience managing end-to-end event logistics for multiple simultaneous programs, including trade shows, conferences, or corporate events with 100+ attendees.
  • Experience coordinating with and managing external vendors (exhibit houses, production companies, merchandise suppliers, freight/drayage) through the full event lifecycle.
  • Proficiency with project management tools such as Asana, Monday.com, Smartsheet, or equivalent; experience maintaining event planning trackers and cross-team calendars.
  • Familiarity with event technology platforms (Cvent, Bizzabo, or equivalent) and lead capture tools used at B2B trade shows and conferences.
  • Exceptional organizational skills and attention to detail; able to manage a high volume of concurrent tasks while maintaining strong follow-through across competing priorities.
  • Clear, proactive communicator — comfortable keeping multiple internal stakeholders informed and following up independently without being prompted.
  • Willingness and ability to travel domestically (and occasionally internationally) to manage on-site event execution; estimated travel 20–30% annually.
  • Experience with Salesforce (CRM) for lead routing and event campaign tracking is preferred.

OUR COMPREHENSIVE BENEFITS
  • Compensation for this role is $55,000 - $70,000 depending on relevant experience and level
  • Health, Dental and Vision Insurance
  • Health Savings Accounts (HSA) with Employer Contribution
  • Flexible Spending Accounts
  • Long and Short-Term Disability
  • Life Insurance
