Essential Duties & Responsibilities:
Performs advanced, diversified, and confidential executive and administrative support and assistance requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.
Assists primary leaders with meetings and initiatives.
Assists primary leaders with daily support activities, such as complex calendaring scheduling virtual and in-person meetings, prioritizing the most time-sensitive matters and people, keeping leaders apprised of upcoming deadlines, potential issues, urgent matters, and travel arrangements.
Executes expense reports, purchases, payment processing, reimbursements, and related items.
Interacts with wide variety of university staff and their executive assistants, supporting secondary leaders with coordination and some calendaring items.
Assists all leaders with drafting and executing communication items (internal memos, meeting invitations, letters to external partners, agendas, distribution lists).
Acts as point person for onboarding new employees, executing all paperwork and internal procedures.
Works independently while also partnering with a small team of executive support members, often cross-training and providing back-up to each other.
Coordinates onsite officing needs of leaders, events, team activities, celebrations, meals, etc.
Maintains a high degree of confidentiality in all aspects of the position.
Performs other duties as assigned.
Job Skills:
Proven interpersonal skills, high degree of initiative, strong prioritization skills, with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
Individual must have excellent computer/word processing skills, including knowledge of standard Microsoft Office products such as Word, Excel, PowerPoint, Outlook.
Ability and willingness to work in a fast-paced environment.
Excellent oral and written communication skills.
Work Experience:
At least 5 years of executive level administrative experience or higher education industry experience required.
Education:
Bachelor’s degree is preferred.
Other:
- Must be able to travel occasionally should a business need arise. Travel may involve plane, car, or metro. In accordance with ADA policies, reasonable accommodations regarding travel limitations can be provided.
- Ability to work onsite in corporate, Campus, or home office environment with a computer and Wi-Fi is required based on hybrid role. This includes being mobile within the office, including movement from floor to floor using elevators or stairs.
- As a hybrid role, musta have access to work in setting which enables meeting all requirements of the role (including privacy, reliable internet access, phone, ability to video conference, etc.) at a remote location.
- This role may require lifting, however reasonable accommodations will be provided in accordance with ADA policies.
- Must be able to meet critical thinking and problem-solving aspects aligned to job duties, as well as effectively communicating with co-workers.
- Must be able to work more than 40 hours per week when business needs warrant. Accommodations related to schedule may be considered.
