Summary:
The Onboarding Specialist manages the pre-boarding (offer to start date) and onboarding (start through 12 months) processes for new teammates, as well as internal transfers and promotions. The Onboarding Specialist ensures all required pre-hire tasks are completed and new hires are ready for their first day of work. Additionally, the Onboarding Specialist stays connected to the new hire throughout their first 12 months, ensuring they are engaged and aware of various opportunities to enhance their experience and grow their career at UNC Health. The Onboarding Specialist coordinates and interacts with pending hires, recruiters, hiring managers, external vendors, and internal partners. The role will provide technical and transactional assistance and high-level customer service to internal and external customers throughout the onboarding process.
Responsibilities:
- Coordinates and monitors the initiation and completion of all contingent offer requirements for pending hires including: pre-employment screening (background & drug), verification of education and prior employment, EHS/OHS clearance, I-9, and licensure/credentials.
- Produce and provide Incentive Agreements to qualified new hires, transfers and promotions as directed by offer details.
- Maintain regular communication with candidates to ensure a positive experience and timely follow-up by responding to inquiries and providing updates on the pre-boarding and onboarding processes.
- Maintain complete, accurate, and up-to-date pre-boarding records for each new hire, transfer, and promotion following legal and organizational standards utilizing department-approved systems.
- Maintain regular contact with all new hires throughout their first year ensuring a positive experience by answering questions, providing information on annual processes (ie: market/merit, performance reviews, Share Survey, etc) and connecting new hires to teammates, events and material of interest to them as they grow their career at UNC Health.
- Respond to routine and complex questions from new hires, transfers, and promoted teammates, HR partners, internal and external partners and hiring managers. Enlist Sr. Onboarding Specialists, Onboarding Supervisor or Director when needed.
- Participate in process improvement initiatives to enhance the candidate experience and onboarding efficiency.
- Participate in special projects or non-routine work as requested by leadership.

● High School diploma required.
Licensure/Certification Requirements:
Professional Experience Requirements:
● Requires 1+ years of administrative experience in a customer service role. Previous Human Resources experience is preferred.
Knowledge/Skills/and Abilities Requirements:
● Intermediate proficiency in Microsoft Word and Excel.
● Effective problem-solving skills.
● Excellent communication and interpersonal skills
● Ability to use good judgment and maintain confidentiality.
● Ability to coordinate multiple priorities.
● Previous onboarding experience is highly preferred.
