MathWorks nurtures growth, appreciates inclusivity, encourages initiative, values teamwork, shares success, and rewards excellence.

Responsibilities

  • Lead end-to-end logistics planning and execution for a North American portfolio of flagship customer events, executive programs, advisory boards, summits, strategic conferences, and Field Marketing events.

  • Partner with event owners and stakeholders to translate business objectives, audience needs, program requirements, and measures of success into event designs, project plans, and logistical solutions.

  • Create and drive detailed project plans, timelines, milestones, task assignments, dependencies, and deliverables across multiple concurrent programs.

  • Manage event logistics including venue sourcing, meeting space, accommodations, transportation, food and beverage, registration, audiovisual production, signage, staffing, and onsite operations.

  • Operate autonomously as the logistics lead, proactively managing priorities, identifying risks, resolving issues, escalating decisions when appropriate, and keeping complex workstreams moving.

  • Manage event budgets, forecasts, contracts, and external partners; build strong vendor relationships and hold agencies, venues, and suppliers accountable for quality, service, cost, and delivery.

  • Collaborate across Marketing, Field Marketing, Sales, Product, Procurement, Legal, Finance, Facilities, Communications, and other teams to align responsibilities, deadlines, dependencies, and decisions; provide clear direction and coordination to project contributors, onsite teams, and external partners.

  • Develop and refine workflows, playbooks, templates, service levels, and operating standards that improve consistency, efficiency, backup coverage, and scalability.

  • Lead or support post-event evaluations using attendee feedback, stakeholder debriefs, operational metrics, and vendor performance to prioritize and implement meaningful improvements.

  • Maintain planning documentation and reporting in shared systems, stay current on industry practices, and leverage technology and AI tools to improve planning, analysis, communications, and event delivery.

Qualifications

  • 6+ years of professional event management experience, including direct ownership of complex, large-scale corporate events, customer conferences, executive meetings, advisory boards, user conferences, or multi-stakeholder programs.

  • Demonstrated ability to independently lead complex event logistics from planning through onsite execution and post-event evaluation.

  • Proven ability to manage multiple concurrent workstreams, prioritize competing demands, and maintain strong attention to detail and quality in a fast-paced environment.

  • Strong project management experience, including developing and driving detailed plans, timelines, task assignments, dependencies, and cross-functional deliverables.

  • Strong vendor management, venue sourcing, contract negotiation, and event budget management experience.

  • Excellent communication, collaboration, judgment, and problem-solving skills, with the ability to influence across functions, guide the work of project teams and partners, and operate effectively with limited direction.

  • Experience improving event processes and using attendee feedback, operational metrics, and retrospective findings to inform recommendations and future priorities.

  • Proficiency with event management platforms, registration systems, project management tools, Microsoft 365, and budget tracking tools, with the ability to travel and provide onsite leadership as required.
