Job Summary:

Under direct supervision, conduct recruitment activities for high volume positions including but not limited to: intake meetings; gather position specifications and qualification, perform preliminary screenings, coordinate interview schedules; process pre-employment screenings; provide guidance to hiring managers. Support recruitment events and Talent Acquisition team with various recruitment activities. Perform other duties as required.

This role will support targeted recruitment efforts for volunteer and intern positions, ensuring a strong pipeline of mission-aligned candidates. This includes maintaining engagement with prospective volunteers and interns while supporting their successful integration into the organization.

Core Activities:

  • Gather open position specifications and qualifications in collaboration with hiring managers to understand talent needs.
  • Process high volume recruitments and applicants for high volume jobs through the Applicant Tracking System timely and efficiently.
    • Create job postings in ATS
    • Review applications materials (resume, attachments, portfolio samples, etc.)
    • Coordinate interview schedules, status updates in collaboration with hiring managers
    • Conduct verbal offers and generate offer letters
  • Audit, update and maintain recruitment data and templates in various systems.
  • Perform preliminary applicant phone screenings.
  • Support candidates throughout the onboarding process (e.g., provide information, orientation, trainings, etc.) as applicable.
  • Update, organize and maintain pre-employment screenings (e.g., background checks, physicals, DMV pulls, etc.)
  • Provide cross-functional support and collaboration with People & Culture activities as needed (e.g., employee events, panel interviews, etc.)
  • Prepare candidate and promotional materials related to internal and external recruitment (e.g., social media ads, website updates, flyers, etc.)
  • Organize and inventory candidate promotional materials, giveaways.
  • Support the logistics for Talent Acquisition events, career fairs (e.g., sign up, track attendance, etc.)
  • Generate routine reporting on applicant profiles and recruitment process.

Preferred Knowledge, Skills & Abilities (KSAs):

  • Bachelor’s degree in Business, Human Resources, or equivalent combination of education, training and experience
  • Experience and/or exposure working in Human Resources setting
  • Experience and/or exposure working in Applicant Tracking Systems, Human Resources Information Systems (Volgistics, UKG preferred)
  • Proficiency in Microsoft Word, PowerPoint
  • Excellent communication, problem-solving and interpersonal skills
  • Must be organized and detail-oriented and able to multitask
  • Highly motivated, self-directed and team player
  • Must be computer and technology literate
  • Ability to work within and maintain Monterey Bay Aquarium’s Core Values

Physical Requirements to Perform Essential Job Functions:

  • Typical office equipment
  • Constant sitting, standing, walking, bending
  • Occasional unassisted lifting up to 50 lbs
  • Typical office environment, main aquarium and exhibits, occasional offsite events

Hourly Compensation Range:

$28.32-$32.69 USD per hour. Starting rate will vary based on previous experience and relevant skills/knowledge set.
