Administrative Coordinator, Business Development

McMillan Pazdan Smith is an award-winning architecture, interior design, and advisory services firm with eleven studios across the Southeast. We are seeking an Administrative Coordinator, Business Development to support both firmwide and studio-specific initiatives. This person will play a vital role in supporting our Business Development (BD) efforts through sponsorships, events, and membership coordination while also maintaining accurate, organized data systems

This position is ideal for someone who is highly organized, thrives in a fast-paced environment where priorities may shift quickly, and is tech-savy.

  

   

Essential Functions


* Support BD and Studio Leaders in coordinating and tracking sponsorships, memberships, and golf tournaments, ensuring agreements and deliverables are planned and executed effectively.

* Liaise with organizations to ensure timely fulfillment of sponsorship obligations, working with leaders and marketing on deliverables, collateral, etc.

* Collaborate with internal stakeholders to track sponsorship deliverables, deadlines, and budgets.

* Maintain organized records of sponsorship contracts, assets, and communications.

* Assist with event logistics by managing payments, calendaring, guest lists, etc.

* Organize and maintain firmwide data filing systems, ensuring consistency and accuracy across shared drives, CRM, and project databases.

* Lead data cleanup initiatives, partnering with BD and marketing teams to streamline records and maintain reliable reporting metrics.

* Work closely with finance, marketing, and studio leaders to support ongoing project data management and reporting needs.

* Provide administrative support for RFQ/RFP retrieval, as needed.

Requirements

  

* 1-3 years of professional experience in a data, administrative, or business development support role.

* Proficiency in Microsoft Office Suite; experience with CRM tools strongly preferred.

* Strong organizational skills, proactive, and high attention to detail.

* Tech-savvy with an ability to learn new software quickly and improve existing systems.

* Excellent interpersonal and written communication skills.

* Ability to manage concurrent priorities with tight deadlines while remaining flexible and composed. 

  

   

Preferred Qualifications

                   

* Experience working in a professional services, A/E/C, or design-related environment.

* Familiarity with Deltek Vision, Planifi, HubSpot, or other CRM/ERP tools.

* Background in marketing, business development, or event coordination.
